ILT: soft skills for utility coordINATORS

This instructor-led training teaches utility coordinators core soft skills for success on the job through collaborative scenario and brainstorm-based activities. A detailed participant guide doubles as a job aid.

Delaware Department of Transportation wants standardized training for their utility coordinators so that their project delivery is consistent and reliable. They need materials updated/developed for the 90 minute soft skills session of their training conference for utility coordinators. I am working with a SME/Instructor to modify existing ILT materials from a similar module taught in the past through a different state DOT.

The materials from the previous state project did not include an instructor’s guide; I am creating an instructor’s guide so that there is more flexibility for different instructors to teach this module. I am also creating an updated participant guide. I have proposed a guide design with much more detail so that it can double as a job aid for employees after the training. Research has found that spaced retrieval aids learner retention of content. By accessing materials after the live instruction, participants have a greater chance of material entering their long-term memory.

In a similar vein, I’m creating updated session slides with much less text and no busy charts. I have included core text, charts, and supplemental visuals in the participant guide. Research has found that learners get overwhelmed with busy slides; our brains cannot focus on auditory and visual input at the same time; instead, the brain must rapidly switch between inputs. In an effort to increase learner retention, I’m proposing minimal text on the slides; text can be supplemented with visuals.

Process

I am using the ADDIE model for this project. I am keeping learning theory and brain science/research principles at the center of my design proposals and decisions. I am working in conjunction with a SME/Instructor and a learner. Additionally, I am seeking feedback throughout each stage of the project.

First, I sent a project intake form to the SME. Their answers gave me insight into the business goal, general learner attitude, previous training format, and the key content sections.

I used the information from the project intake form to create an action map rough draft. In the kickoff meeting with the SME, we discussed and changed the action map in a collaborative process.

The action map allowed me to hone in on the key objectives for this training. I started by organizing four separate statements answering the question “what do people need to be able to do?”

Next, I proposed several interactive activities to incorporate into the training. Research shows that adults have a maximum attention span of approximately 20 minutes (Gutenburg Technology). Research has also shown that passive learning is inferior to active learning. The previous training only had one activity/opportunity for collaboration and practice. I proposed increasing the number of activites to 3 or 4 so that the learners have a chance to actively apply new knowledge and collaborate and reflect with fellow learners.

Outline + Learner Research

Based on my meeting with the SME, I proposed a revised training outline that reflected the modifications outlined above. With a positive response from the SME, I proceeded to gather more information about the learners. I met with a utility coordinator for DelDOT to learn more details about the job. This conversation helped me to keep the learner at the center of my design.

First Draft

Armed with a wealth of information from the SME and learner meetings, I created a rough draft of the instructor guide, participant guide, and session slides. Next, I will meet with the SME to review these deliverables. Based on this feedback, I will create a second draft with modifications.
